TRUSTEE BOARD MEETING MINUTES

April 26, 2007

 

 

1) Call to Order: Jessica called the meeting to order at 3:50pm. Trustees present were: Jessica Grinberg, Dave Gross, Sara Spring, Erich Schmid, Deena Zarlin, Margaret Iacuaniello and Carolyn Carleton. Also present was Ray Alarcon and Gail Dickenson.

 

2) Minutes: (MSC Erich, Dave) to approve the minutes of 3/27/07) All ayes on the vote.

 

3) Open Forum for Public Comment: Gail noted that the students and staff appreciate and thank MUSE for their support of the many programs we help fund: Alternative Education Week, Model UN and Honor Choir among others.

 

4) Financial Report: Sara Spring is still working on updating our financial records and now has copies of our last monthly report from August 2006 and a Sept-Dec 2006 summary report and will present a current financial report next month.

 

5) Correspondence: A thank you needs to be written by Carolyn to Mendo Realty staff of Cheri Singman, Kathy Orsi and Greg Burke for all their help to prepare for the Peggy Merrill honoree dinner at the Ledford House.

 

Jessica reported that Gerry Grimes would be giving MUSE 25% of her profit on her 1 rug sale from her April 7th handwoven rug sale in her Mendocino home.

 

Jessica has been asked to serve on the K-8 Site Council by Bronwyn Rhoades and wanted to be sure there would be no conflict of interest. Dave noted that Jessica’s participation would be good for coordination between the two boards regarding money expenditures.

 

Margaret reported that Judy Minkus’ 3rd grade class wrote thank you notes to MUSE for our help in funding their theater arts program with Kathy O’Grady.

 

Ray Alarcon won Mendo Lake Credit Union’s raffle with $100 to him and $100 to his non-profit of choice and he’s forwarding it to MUSE Endowment Fund.

 

Attempts were made to help fund Lilia Albuquerque’s June 9th concert of a Brazilian jazz singer at Cotton Auditorium but efforts to secure partnership to split proceeds with Music Festival or Arts For All were not successful so the concert was cancelled.

 

Jessica reported that Mendocino Coast Chamber of Commerce would like us to join at $130/annually for non-profit organizations. (MSC Carolyn, Sara for MUSE to join Mendocino Coast Chamber of Commerce).  All ayes on vote.

 

Last year, MUSE advertised the car raffle in the summer issue of Traveler’s Guide. A postcard-sized ad would be $756. A discussion followed and it was determined to be too expensive.

 

6) Committee Reports:

(a)  Cinco de Mayo: Event is cancelled as no event coordinator volunteered. Lisa will unrent Caspar Community Center and cancel Pura Vida.

(b)  Endowment Fund: Carolyn has compiled all current Endowment Fund donors except the original 2001-2005 donors. She will check with Anne Ruprecht and Ron Bowman to confirm those names based on bank deposits made. $27,400 is in account now earmarked for Endowment Fund and a check needs to be written to the Mendocino Community Foundation. 

(c) Car Raffle: Sport Jeep of Ft. Bragg will purchase Jeep Wrangler for us for $29,500          net cost, give us unlimited use on a trailer (Tom Hudson had offered use of his trailer earlier and needs to be contacted re: parking trailer at Sport Jeep with Wrangler) and agreed to swap for a 2008 model in Sept. for the raffle. Our cash out option was agreed at $25,000. Sara questioned the net price as a dealer in Vacaville quoted her $29,00 for the same vehicle with more options (GPS and mygig) but discussion followed regarding the importance of buying locally. Jessica spoke to 4 potential raffle managers with appropriate managerial and organizational skills but felt that knowledge of the school community is also important to draw on a pool of volunteers. Helena Thornton would like the job and can work with Sara on record keeping with credit card charges called in 1X week to decrease “batch fees”. Her job includes recruiting volunteers to sell tix, drive car on trailer to many public venues, submit sales records but would not include monthly MUSE financial reports as Sara/Michelle will be doing that. (MSC Erich, Carolyn to hire Helena as independent contractor for 5 months, May – Sept @ $1000 month to manage the Jeep raffle). All ayes on vote.

 

(d) Digging Dog garden tour: We will suggest that Annette send to-do list to whole MUSE Board to get more volunteers for the June 24th event.

 

(e) By-Laws Revisions: No committee meeting to report on.           

 

(f) Rummage Sale: Last Rummage Sale will be in May as we have lost our storage.  Gail mentioned the possibility of a high school classroom for temporary storage. Zap Vehicle offered their parking lot for weekend sales but we’d have to haul stuff back and forth from storage.

 

(g) Fun Fair:  Friendship Park Board accepted our $500 user fee + $300 security deposit but wanted us to help sponsor 4th of July event which Jessica declined. Helena has lots of volunteers but still needs sign-ups for individual events and a list was circulated for Board sign-ups.

 

(h) Expense Reporting: Form not developed yet.

 

(i)    Mailing List: Carolyn got list from Iana and updated it with new Peggy Merrill donors. She’ll e-mail the Excel spreadsheet format to Ray and he’ll print out labels that Jessica provides for the newsletter mailing.

 

(j)      Newsletter: Margaret took newsletter to Mendo Litho to approve the B & W proof and the printing of 1500 will be done by Monday afternoon. Jessica will pick them up and bring them to Margaret’s classroom for a folding, addressing and stamping gathering of Jessica, Carolyn and Margaret at 3:30 PM.

 

(6)  2007 Fundraising Events: Deferred to next meeting.

 

Items deferred for the next meeting agenda:

a) Fall fundraising events for 2007.

b) By-laws revisions for new member selection and officer responsibilities

c) Expense Reporting form
