MUSETRUSTEE BOARD MEETING MINUTES November 29, 2007
1) Call to Order/Introductions: Jessica called the meeting to order at 3:45pm. Trustees present were: Jessica Grinberg, Judy Minkus, Deena Zarlin, Erich Schmid, Tom Hudson, Pam Graham, Margaret Iacuaniello and Carolyn Carleton. Also present was Bronwyn Rhoades, Gail Dickenson and Ray Alarcon.
2) Minutes: (MSC Erich/Pam) to approve the minutes of 10/25/07) All ayes on the vote.
3) Open Forum for Public Comment: No comments.
4) Financial Report: Sara Spring was away on business so no report.
5) Correspondence: Jerry and Pat Thomas of Albion are the winners of the Jeep Raffle and will be keeping the $25,000 cash alternative to the vehicle.
Catherine Stone forwarded an e-mail regarding IRS workshops for school-connected 501(c) (3) organizations to be tax compliant. (MSC Tom/Erich) to send Sara for the one-day December IRS workshop) All ayes on the vote.
Carolyn read an e-mail from Frank Fanto requesting funds for his MHS AE Week trip in April 2008 to New Orleans to rebuild housing. It was agreed that he should be directed to Gail Dickenson directly as MUSE granted $4000 in funds for AE Week trips for the school year.
6) Committee Reports: Jeep Raffle: No final figures from Sara yet but estimates are for profits between $10,000 - $20,000. The MGS Parent Group offered to throw an ice cream party for the class selling the most raffle tickets. Pamela Allen, as president, is presiding over their next meeting on Dec 11th so we need to get them the final ticket totals so the party can happen before the holiday break. We also offered free MacCullum House breakfasts (the $2.50 - $3.00 expense MUSE pays) for all parents who sold 5 ticket packets so those totals need to be gotten from Helena. Tom offered to get those totals from Helena and Jessica will contact the Mac House for coupons.
There was agreement on Jessica’s suggestion for a dinner for 2 for Tom Honer and flowers for Peggy Merrill as gifts for their contributions to the Jeep raffle. A discussion followed regarding the payment of $500 to Helena for the extended 2 week period of work before the raffle drawing on Oct. 31st that was beyond our original 5 month contract for her services. (MSC Tom/Erich) to pay Helena $500 for extra 2 weeks beyond original contract as jeep raffle manager ) 7 ayes 1 no.
Arts for All in Ft. Bragg has yet to be paid for their share of group ticket sales offered at $500 per $1500 sold for groups of 30 tickets. Discussion followed regarding the counting of all tickets sold from the Harvest Market outlets to Ft. Bragg residents to be included in the group ticket sales as no30 ticket groups were sold by Arts for All in Ft. Bragg. It was decided that after we count the Ft. Bragg ticket sales from the Harvest Market outlets we will decide at our December meeting as to the percentage to be donated to Arts for All.
(b) Candlelight Inn Tour: 12 inns in Mendocino/Little River/Albion and 8 inns in Ft. Bragg are participating this year, Dec 5-8, with ticket prices increased to $25 with Children under 10 for $5. Contest is being sponsored by Cowlick’s of gingerbread houses shown at the inns and silently auctioned off. MUSE newsletters will be at each inn where MUSE and BBBS volunteers will be stationed to take/sell tickets and hand out maps of the inn tour.
(c) Honoree Dinner: Tomek Ulatowski will be our honoree for the March 13th dinner at the Hill House. Margaret Fox will cater a Polish/French cuisine buffet. Silent Auction items could be displayed downstairs with the dinner upstairs. Sandy Glickfield and Robert Goldman have offered to sing for the evening and Pamela suggested asking Vince Russo to sing a few songs as well. Pam will confirm the date with Tomek and ask for a list of guests. In conjunction with honoring Tomek’s contribution to the MUSE inception, an honor plaque will be sent to CC Ulatowski for her extraordinary efforts to help create MUSE in 2001. Erich, Tom and Pamela will help Jessica in the planning of the dinner.
(d) Newsletter: Margaret brought 1000 printed copies of the Fall newsletter for folding to prepare for our mailing. Printing costs were $404 so discussion followed as to the most efficient distribution. Parents of school district children can get copies through the school. Carolyn will get 2007 raffle ticket addresses from Sara and enter new local names to our mailing list and then circulate an updated hard copy to Board members to mark names for a separate Newsletter Mailing List. Eventually a separate Raffle Mailing list could be developed. The goal is for mailing labels to be ready for a newsletter mailing by the 2nd week of December.
(e) Mickie Zeckley Concert: Mickie with his wife and 11 year old son have offered to put on a family concert for MUSE Dec. 15th at 7 PM at the MHS PAC. He has offered to handle postering and advertising if we handle concessions. Deena will ask some Parent Group members to head up the concessions and Ray agreed to coordinate hall arrangements with the high school.
7) Events Calendar: Jessica will talk to Debra Whigham about another spring Digging Dog Nursery Event in May or June 2008.
8) Outgoing and Incoming Board Members : Iana Porter return in December. (MSC Carolyn/Deena to add Iana Porter as a MUSE Board Trustee effective December 2007). All ayes on the vote.
Meeting was adjourned at 5:10 PM. Next Meeting is Thursday, December 20th at 3:40 PM as the 4th Thursday of the month falls during holiday school break.
